ROYALE PARTY RENTALS

CANCELLATION, REFUND, AND WEATHER POLICY

Effective Date: July 5, 2026

This Cancellation, Refund, and Weather Policy applies to all reservations and services provided by Royale Party Rentals, including:

  • Gamer Royale gaming trailer packages

  • Bounce houses

  • Water slides

  • Inflatable combo units

  • Tables and chairs

  • Tents and canopies

  • Generators

  • Party Essentials

  • Add-ons and upgrades

  • Private parties

  • School and church events

  • Public and community events

  • Corporate events

  • Other equipment and services provided by Royale Party Rentals

By completing a booking, paying a deposit, or electronically accepting the applicable rental agreement, the customer acknowledges and agrees to this policy.

1. RESERVATION DEPOSIT

A deposit may be required to reserve an event date, service, or rental equipment.

A booking is not considered confirmed until:

  1. Royale Party Rentals has accepted the booking;

  2. Required customer and event information has been received;

  3. Required agreements have been accepted or signed; and

  4. The required deposit has been successfully paid.

Until these requirements are completed, the requested date and equipment may remain available to other customers.

The amount of the required deposit will be shown on the customer's booking confirmation, invoice, quote, or payment schedule.

2. FINAL PAYMENT

Unless otherwise stated in writing, the remaining balance is due no later than seven (7) calendar days before the scheduled event.

Bookings made within seven days of the event may require full payment at the time of booking.

Failure to pay the remaining balance by the required due date may result in cancellation of the reservation and release of the reserved equipment or event date.

Royale Party Rentals is not required to deliver, install, or provide services when an account has an unpaid past-due balance.

3. CUSTOMER CANCELLATIONS MORE THAN 14 DAYS BEFORE THE EVENT

When the customer provides written cancellation notice more than fourteen (14) calendar days before the scheduled event date:

  • The reservation deposit is refundable.

  • Any refundable amount will be returned using the original payment method when reasonably possible.

  • Processing time may vary depending on the payment processor or financial institution.

The cancellation date is the date Royale Party Rentals receives the customer's written cancellation notice.

4. CUSTOMER CANCELLATIONS 14 DAYS OR LESS BEFORE THE EVENT

When the customer cancels fourteen (14) calendar days or less before the scheduled event date:

  • The reservation deposit is nonrefundable.

  • Amounts paid beyond the required deposit will be reviewed based on the circumstances of the cancellation.

  • Any approved refund or credit will be communicated in writing.

Factors considered may include:

  • Equipment reserved exclusively for the event

  • Lost booking opportunities

  • Labor already scheduled

  • Transportation or preparation expenses already incurred

  • Special-order products or services

  • Custom merchandise

  • Third-party costs already paid

  • Other reasonable event preparation expenses

5. HOW TO CANCEL

Cancellations must be submitted in writing.

Customers may send cancellation requests to:

The cancellation request should include:

  • Customer name

  • Event date

  • Event address

  • Booking or invoice number, if available

  • Services or equipment reserved

  • Reason for cancellation

A cancellation is not complete until Royale Party Rentals receives the notice.

Customers are encouraged to request written confirmation that the cancellation has been received.

6. WEATHER POLICY

Outdoor events are subject to changing weather conditions.

Royale Party Rentals monitors safety conditions and may delay setup, suspend operation, modify equipment use, relocate equipment when reasonably possible, or cancel affected services when conditions are unsafe.

Unsafe conditions may include:

  • Lightning

  • Thunderstorms

  • High winds or dangerous wind gusts

  • Heavy rain

  • Flooding

  • Standing water

  • Severe weather warnings

  • Tornado warnings

  • Saturated or unstable ground

  • Unsafe temperatures

  • Electrical hazards

  • Conditions that make delivery, setup, operation, or removal unsafe

Different types of equipment may have different operating limitations.

For example, weather may affect:

  • Bounce houses

  • Water slides

  • Combo units

  • Outdoor televisions

  • Movie Night equipment

  • Karaoke equipment used outdoors

  • Tents and canopies

  • Generators

  • Other outdoor electrical equipment

Customer preference alone does not override a safety decision made by Royale Party Rentals.

7. WEATHER CANCELLATIONS BEFORE DELIVERY

When unsafe weather is reasonably expected and Royale Party Rentals determines before delivery that the scheduled service cannot be safely provided, the customer may be offered one or more of the following options depending on availability and the circumstances:

  • Reschedule the event to an available date;

  • Apply eligible payments as a credit toward a future booking;

  • Substitute equipment when appropriate and approved by the customer; or

  • Receive a refund for the affected service when Royale Party Rentals cannot reasonably provide or reschedule the service.

The specific resolution may depend on:

  • Equipment type

  • Event location

  • Forecast timing

  • Availability of alternate dates

  • Whether the entire booking or only part of the booking is affected

8. WEATHER CHANGES AFTER DELIVERY OR SETUP

Weather conditions may change after equipment has been delivered or installed.

If Royale Party Rentals determines that continued operation is unsafe:

  • Equipment use must stop immediately when directed.

  • Customers and guests must follow all shutdown instructions.

  • Inflatables may be deflated.

  • Outdoor electronic equipment may be disconnected or removed from use.

  • Tents or other equipment may require adjustment, shutdown, or removal when conditions become unsafe.

A weather-related shutdown after an event has begun does not automatically qualify for a full refund.

Refunds, credits, or rescheduling consideration will depend on the circumstances, including:

  • How much of the rental period was completed

  • Which equipment was affected

  • Whether the customer continued to receive other services

  • Whether the weather event was foreseeable

  • Whether alternative arrangements were possible

9. CUSTOMER-REQUESTED WEATHER CANCELLATIONS

A customer's decision to cancel because of a weather forecast does not automatically qualify for a refund outside the normal cancellation policy.

Customers concerned about weather should contact Royale Party Rentals as early as possible.

We will review the forecast, equipment involved, location, timing, and safety conditions and work with the customer when reasonable options are available.

10. UNSAFE OR UNSUITABLE SETUP LOCATIONS

Royale Party Rentals may refuse or discontinue setup when the event location is unsafe or materially different from the information provided during booking.

Examples include:

  • Insufficient setup space

  • Unsafe slopes

  • Inaccessible gates

  • Low branches

  • Overhead wires

  • Unknown underground utilities

  • Septic systems in the setup area

  • Sprinkler systems that were not disclosed

  • Unsafe parking conditions

  • Excessively muddy or flooded ground

  • Prohibited surfaces

  • Lack of required water access

  • Lack of required electrical access

  • Venue refusal

  • HOA or municipal restrictions

  • No legal permission to use the property

When service cannot be provided because the customer supplied inaccurate or incomplete site information, the normal cancellation policy may apply.

Delivery or travel charges already incurred may also remain payable.

11. CUSTOMER DELAYS AND NO-SHOWS

The customer is responsible for ensuring timely access to the event location.

Delays caused by the customer may include:

  • Locked gates

  • Customer not present

  • Incorrect address

  • Venue access problems

  • Unavailable parking

  • Setup area not ready

  • Required permissions not obtained

  • Last-minute setup-location changes

Customer-caused delays may reduce the available rental or event time.

Royale Party Rentals is not required to extend the event end time when delays are caused by the customer or venue.

A customer who fails to provide access to the location or fails to appear for the event may be treated as a same-day cancellation.

12. RESCHEDULING

Rescheduling requests are subject to availability.

Royale Party Rentals will make reasonable efforts to accommodate a requested date change, but the requested replacement date is not guaranteed.

A rescheduled booking is not confirmed until Royale Party Rentals provides written confirmation.

Credits or payments transferred to a new date:

  • Apply only to the approved rescheduled event;

  • May be subject to current pricing if the scope of services changes;

  • May not be transferable to another customer without written approval.

Repeated rescheduling requests may be subject to additional restrictions or fees when disclosed in advance.

13. ROYALE PARTY RENTALS CANCELLATION

In rare circumstances, Royale Party Rentals may need to cancel a booking because of:

  • Severe weather

  • Equipment failure

  • Vehicle breakdown

  • Accident

  • Illness or emergency

  • Government restriction

  • Road closure

  • Safety concern

  • Force majeure event

  • Other circumstances beyond reasonable control

When Royale Party Rentals cannot provide the reserved service, we may offer:

  • Comparable substitute equipment;

  • Rescheduling;

  • Booking credit; or

  • A refund of amounts paid for the affected service.

Royale Party Rentals will communicate with the customer as soon as reasonably possible.

14. EQUIPMENT SUBSTITUTION

If specific equipment becomes unavailable because of unexpected damage, maintenance issues, mechanical failure, or another safety concern, Royale Party Rentals may offer comparable substitute equipment.

The customer will be informed of any material substitution.

When an acceptable substitute cannot be provided, Royale Party Rentals may offer:

  • Rescheduling;

  • Credit; or

  • A refund for the affected unavailable item or service.

15. EVENT REDUCTIONS AND REMOVAL OF ITEMS

Removing equipment or services from an already confirmed booking may be treated as a partial cancellation.

Refund eligibility for removed items depends on:

  • The date the change is requested;

  • Whether the equipment was reserved exclusively for the event;

  • Whether special preparation or purchases have already occurred;

  • Whether package or bundle pricing changes because of the removal.

Removing one rental category may also affect eligibility for bundle discounts or promotional pricing.

Any revised price will be communicated before the booking modification is finalized.

16. PROMOTIONAL AND BUNDLE DISCOUNTS

When a customer cancels or removes a service that originally qualified the booking for a promotional or bundle discount, the total booking price may be recalculated.

For example, if a discount requires two or more rental categories and one category is later canceled, the remaining booking may no longer qualify for the bundle discount.

The revised balance will be communicated to the customer.

17. MERCHANDISE

Merchandise purchases may have separate return and refund terms.

Rental cancellation terms do not automatically apply to:

  • T-shirts

  • Personalized merchandise

  • Custom orders

  • Used or worn merchandise

Custom or personalized items may be nonrefundable except where required by law or where the product is defective.

18. REFUND PROCESSING

Approved refunds will generally be returned using the original payment method when reasonably possible.

Processing time depends on the payment processor and customer's financial institution.

Royale Party Rentals is not responsible for delays caused by banks, credit card companies, or third-party payment processors after a refund has been properly submitted.

Transaction or processing fees may be handled according to the payment processor's rules and the terms disclosed at the time of payment.

19. CHARGEBACKS AND PAYMENT DISPUTES

Customers are encouraged to contact Royale Party Rentals before initiating a chargeback or payment dispute.

We will make reasonable efforts to review legitimate billing concerns.

Initiating a chargeback does not cancel a booking or eliminate obligations under the applicable rental agreement.

Royale Party Rentals may provide booking records, signed agreements, electronic acceptance records, communications, photographs, delivery records, and other relevant information to the payment processor or financial institution when responding to a payment dispute.
