ROYALE PARTY RENTALS

TERMS AND CONDITIONS

Effective Date: July 4, 2026

These Terms and Conditions govern reservations, rentals, services, equipment, and related transactions provided by Royale Party Rentals, including Gamer Royale services.

By submitting a booking request, signing a rental agreement, accepting a quote, paying a deposit or other payment, or using equipment or services provided by Royale Party Rentals, the customer acknowledges and agrees to these Terms and Conditions.

For purposes of these Terms and Conditions, “Royale Party Rentals,” “we,” “us,” and “our” refer to Royale Party Rentals and its applicable business operations, including Gamer Royale. “Customer,” “you,” and “your” refer to the individual or organization entering into the rental or service agreement.

1. SERVICES COVERED

These Terms and Conditions apply to all services and equipment provided by Royale Party Rentals, including but not limited to:

  • Gamer Royale mobile gaming trailer packages

  • Bounce houses

  • Inflatable water slides

  • Inflatable combo units

  • Tables

  • Chairs

  • Pop-up tents and canopies

  • Generators

  • Party Essentials

  • Karaoke

  • Movie Night

  • Outdoor televisions

  • Additional gaming time

  • T-shirts and merchandise

  • Bundled rental packages

  • Public events

  • Corporate events

  • School events

  • Church events

  • Community events

  • Festivals

  • Private parties

  • Other equipment, services, and add-ons offered by Royale Party Rentals

Specific services, equipment, rental periods, prices, and inclusions are determined by the customer's confirmed booking, invoice, quote, or rental agreement.

2. BOOKING REQUESTS AND AVAILABILITY

Submitting a booking form, availability request, shopping-cart selection, quote request, or other inquiry does not automatically reserve equipment or guarantee availability.

A booking is considered confirmed only after:

  1. Royale Party Rentals has reviewed and accepted the requested event details;

  2. Required customer information has been provided;

  3. Any required agreements have been accepted or signed; and

  4. The required deposit or initial payment has been successfully received.

Equipment and event dates remain available to other customers until the reservation has been confirmed.

All rentals and services are subject to availability.

Royale Party Rentals reserves the right to decline a booking when we determine that the location, access, setup conditions, weather, event conditions, scheduling requirements, or other circumstances may prevent safe or reliable service.

3. PRICING

The customer is responsible for reviewing the booking confirmation, quote, invoice, or rental agreement before making payment.

Pricing may vary based on:

  • Equipment selected

  • Package duration

  • Rental duration

  • Delivery location

  • Travel distance

  • Setup requirements

  • Surface type

  • Access limitations

  • Event size

  • Staffing requirements

  • Additional equipment

  • Optional upgrades

  • Taxes or legally required fees

Promotional discounts and bundle discounts are subject to the eligibility requirements, expiration dates, and restrictions published with the applicable promotion.

Unless specifically stated otherwise in writing, discounts cannot be combined.

An advertised discount does not apply retroactively to bookings made before the promotion began.

4. DEPOSIT AND PAYMENT TERMS

A deposit may be required to reserve an event date or rental equipment.

Unless otherwise stated in the customer's written booking confirmation:

  • The required deposit is due at the time of booking.

  • The remaining balance is due seven (7) calendar days before the scheduled event.

  • Bookings made within seven days of the event may require full payment at the time of booking.

Failure to pay the remaining balance by the required due date may result in cancellation of the reservation and release of the equipment or event date.

Royale Party Rentals is not required to deliver, install, or operate equipment when the customer's account has an unpaid past-due balance.

Additional charges incurred during or after the event, including approved extensions, damages, missing equipment, excessive cleaning, or other authorized charges, may be invoiced separately.

5. CANCELLATION POLICY

A deposit is refundable when the customer cancels the confirmed event more than fourteen (14) calendar days before the scheduled event date.

For cancellations made fourteen (14) calendar days or less before the scheduled event, the deposit is nonrefundable.

Any treatment of amounts paid beyond the required deposit will be determined according to the circumstances of the cancellation, expenses already incurred, equipment reserved, services already performed, and any additional written terms contained in the customer's booking confirmation or rental agreement.

Cancellations must be submitted in writing by email or through another communication method accepted by Royale Party Rentals.

The effective cancellation date is the date on which Royale Party Rentals receives the cancellation notice.

6. WEATHER AND UNSAFE CONDITIONS

Customer and guest safety is our priority.

Royale Party Rentals may delay setup, suspend operation, remove equipment from service, modify an event setup, or cancel service when conditions are unsafe.

Unsafe conditions may include, but are not limited to:

  • Lightning

  • Thunderstorms

  • High winds or dangerous wind gusts

  • Heavy rain

  • Flooding

  • Standing water

  • Severe weather warnings or watches

  • Tornado warnings

  • Unsafe temperatures

  • Saturated ground

  • Unstable surfaces

  • Electrical hazards

  • Dangerous access conditions

  • Conditions that may damage equipment or create an unreasonable risk of injury

Inflatables, outdoor televisions, tents, generators, electrical equipment, and other outdoor equipment may have different weather limitations.

Customers and guests must immediately follow instructions to stop using equipment when directed by Royale Party Rentals personnel.

Weather-related cancellation, postponement, or rescheduling decisions will be handled according to the applicable booking agreement and the circumstances of the event.

Royale Party Rentals does not guarantee that all outdoor equipment can remain operational throughout an event when weather conditions change.

7. CUSTOMER RESPONSIBILITY FOR ACCURATE INFORMATION

The customer must provide accurate and complete information concerning the event, including:

  • Customer name

  • Contact information

  • Event date

  • Event start and end times

  • Event address

  • Venue information

  • Guest count when requested

  • Surface type

  • Access conditions

  • Gate dimensions when relevant

  • Parking availability

  • Water availability when required

  • Electrical access when required

  • Known obstacles

  • Special venue rules

  • HOA restrictions

  • Park or municipal requirements

  • School or church access requirements

  • Gated-community access

  • Stairs, slopes, narrow passages, fences, low branches, or other restrictions

Failure to provide accurate information may result in delayed setup, additional charges, modification of the setup, or inability to provide the requested service.

Royale Party Rentals is not responsible for reduced event time caused by inaccurate, incomplete, or withheld information provided by the customer.

8. SITE ACCESS AND DELIVERY

The customer is responsible for ensuring that Royale Party Rentals has reasonable and lawful access to the delivery and setup location.

The customer must obtain all necessary permissions from:

  • Property owners

  • Landlords

  • Venue operators

  • Homeowners associations

  • Schools

  • Churches

  • Parks departments

  • Municipal authorities

  • Event organizers

  • Any other person or organization controlling the property

Additional charges may apply when delivery or removal requires unusual labor, extended carrying distances, difficult terrain, stairs, restricted access, or unexpected setup conditions that were not disclosed before booking.

Royale Party Rentals reserves the right to refuse delivery or setup when access conditions create an unreasonable risk of injury or property damage.

9. GAMING TRAILER REQUIREMENTS

The Gamer Royale gaming trailer requires a safe and accessible parking and setup area.

Unless otherwise approved in writing, the customer must provide:

  • Approximately 50 feet of clear space for the trailer and tow vehicle

  • A reasonably level and suitable parking surface

  • Legal permission for the trailer and tow vehicle to park at the location

  • Clear access free from low branches, narrow turns, blocked entrances, and other obstructions

  • A safe area around trailer entrances, exits, steps, and outdoor television equipment

Royale Party Rentals provides the generator required for normal gaming-trailer operation.

The customer must provide access to the setup area approximately 45 minutes before the scheduled event start time.

Setup conditions may require earlier access for larger or more complex events.

The customer must ensure that guests do not:

  • Enter restricted equipment areas

  • Tamper with electrical systems

  • Disconnect cables

  • Move gaming equipment without permission

  • Bring food or drinks into restricted electronic equipment areas

  • Behave in a manner that creates an unsafe environment

Food may be permitted in approved areas, but excessive spills, stains, food debris, trash, or other unusual cleaning needs may result in an additional cleaning charge.

10. INFLATABLE RENTAL REQUIREMENTS

Inflatable equipment includes bounce houses, water slides, combo units, and other inflatable attractions.

The customer must provide sufficient clear space for the rented inflatable.

The customer must accurately disclose:

  • Available setup dimensions

  • Surface type

  • Gate width

  • Access route

  • Fences

  • Trees and branches

  • Overhead wires

  • Irrigation equipment

  • Sprinkler systems

  • Underground utilities

  • Septic systems

  • Drainage systems

  • Other known underground or surface hazards

Grass is generally the preferred setup surface.

Setup on concrete, pavement, artificial turf, or other surfaces must be approved in advance and may require different anchoring methods or additional equipment.

The customer must not move, reposition, disconnect, deflate, or alter an inflatable after installation without authorization from Royale Party Rentals.

For wet-use equipment, the customer must provide the agreed-upon water access and other site requirements communicated during booking.

Inflatables must not be operated without proper adult supervision.

The supervising adult must enforce posted and communicated safety rules.

Users must follow all requirements concerning:

  • Maximum occupancy

  • User size

  • Age compatibility

  • Rough play

  • Flips or dangerous maneuvers

  • Food and beverages

  • Shoes

  • Sharp objects

  • Pets

  • Climbing on exterior surfaces

  • Water use

  • Entry and exit procedures

Royale Party Rentals may stop use of an inflatable when rules are not being followed or when conditions become unsafe.

11. PARTY ESSENTIALS

Party Essentials may include:

  • Tables

  • Chairs

  • Pop-up tents

  • Canopies

  • Generators

  • Related event equipment

The customer is responsible for keeping rental equipment in the approved setup location unless Royale Party Rentals authorizes movement.

Tents and canopies must not be moved, altered, disconnected from anchors, or modified by the customer or guests.

Items must not be:

  • Dragged across damaging surfaces

  • Used for purposes other than their intended purpose

  • Overloaded

  • Climbed upon

  • Exposed to unauthorized flame or heat sources

  • Removed from the event location

  • Modified or disassembled

The customer is responsible for ensuring that tables, chairs, tents, generators, and related equipment are used appropriately.

Generator use must follow all instructions provided by Royale Party Rentals. Customers and guests may not refuel, modify, open, move, or tamper with a generator unless specifically authorized.

12. SUPERVISION AND EVENT CONDUCT

A responsible adult age eighteen (18) or older must be present throughout the rental period.

Royale Party Rentals personnel do not replace parental, guardian, teacher, chaperone, venue, or event-organizer supervision.

The customer is responsible for:

  • Supervising guests

  • Enforcing appropriate behavior

  • Ensuring that children follow safety instructions

  • Preventing unauthorized equipment use

  • Preventing dangerous conduct

  • Following occupancy and usage restrictions

  • Informing guests of relevant rules

Royale Party Rentals reserves the right to suspend or terminate equipment use when customers or guests:

  • Refuse to follow safety instructions

  • Engage in dangerous conduct

  • Threaten employees, contractors, or other guests

  • Intentionally damage equipment

  • Create an unsafe environment

  • Interfere with equipment operation

A service interruption caused by unsafe or prohibited customer or guest conduct does not automatically entitle the customer to a refund.

13. EQUIPMENT CONDITION AND DAMAGE

Rental equipment remains the property of Royale Party Rentals.

The customer is responsible for loss or damage beyond ordinary wear and tear that occurs because of:

  • Misuse

  • Negligence

  • Intentional damage

  • Unauthorized movement

  • Unauthorized modification

  • Failure to follow instructions

  • Improper supervision

  • Theft

  • Vandalism by the customer or the customer's guests

  • Unauthorized possession or removal of equipment

The customer must promptly notify Royale Party Rentals of:

  • Damage

  • Equipment malfunction

  • Accidents

  • Injuries

  • Theft

  • Safety concerns

  • Unusual operating conditions

Customers should not attempt repairs unless specifically instructed by Royale Party Rentals.

Charges for damaged or missing equipment may include reasonable repair, cleaning, labor, transportation, or replacement costs.

14. EXCESSIVE CLEANING

Normal cleanup associated with proper event use is included unless otherwise stated.

Additional cleaning charges may apply for excessive:

  • Food or beverage spills

  • Stains

  • Mud

  • Paint

  • Confetti

  • Silly string

  • Gum

  • Adhesives

  • Trash

  • Bodily fluids

  • Pet waste

  • Smoke residue

  • Unauthorized decorations

  • Other contamination beyond normal use

Customers should ask before using unusual decorations or materials near rental equipment.

15. EVENT START TIMES AND DELAYS

Royale Party Rentals will make reasonable efforts to deliver and set up equipment according to the confirmed schedule.

Customers must provide timely access to the site.

When setup is delayed because of:

  • Customer absence

  • Locked gates

  • Venue restrictions

  • Incorrect address information

  • Unavailable parking

  • Undisclosed access problems

  • Required permits or permissions not obtained by the customer

  • Unprepared setup areas

  • Customer-requested changes

the scheduled rental period may not be extended.

Royale Party Rentals will communicate with the customer when circumstances outside our reasonable control affect delivery or setup.

16. CUSTOMER-REQUESTED EXTENSIONS

Rental or gaming time may be extended only when:

  • The equipment is available;

  • The event schedule allows additional time;

  • Royale Party Rentals approves the extension; and

  • Any additional fee is accepted by the customer.

Extensions are not guaranteed.

Unauthorized continued use of equipment beyond the agreed rental period may result in additional charges.

17. ADD-ONS AND UPGRADES

Available upgrades may include:

  • Additional gaming time

  • Second outdoor gaming television

  • Movie Night

  • Karaoke

  • Gamer Royale T-shirts

  • Table and six-chair packages

  • Other Party Essentials

  • Other advertised upgrades

All add-ons are subject to availability.

Some add-ons may be affected by weather, setup limitations, venue requirements, electrical needs, noise restrictions, or other event-specific conditions.

The customer's confirmed invoice or booking agreement determines which add-ons are included.

18. PUBLIC, SCHOOL, CHURCH, COMMUNITY, AND CORPORATE EVENTS

Large events may require additional:

  • Staffing

  • Setup time

  • Event coordination

  • Access planning

  • Power planning

  • Safety planning

  • Venue approval

  • Insurance documentation

  • Delivery requirements

  • Written event schedules

Quotes for public, corporate, school, church, festival, or community events may have event-specific terms that supplement these Terms and Conditions.

When an event-specific agreement conflicts with these general Terms and Conditions, the signed event-specific agreement controls concerning that conflict.

19. PHOTOGRAPHS AND VIDEO

Royale Party Rentals may photograph or record equipment setups and event activity for business records and promotional purposes, subject to our applicable media notice, privacy policy, and customer communication concerning photography preferences.

Customers may communicate a marketing photo or video opt-out in accordance with the applicable form or written policy.

Royale Party Rentals will make reasonable efforts to honor properly submitted photo and video restrictions.

A separate written release or affirmative authorization may be requested before prominently featuring identifiable individuals or minors in certain advertising or promotional materials.

20. PERSONAL PROPERTY

Royale Party Rentals is not responsible for personal property that is:

  • Lost

  • Misplaced

  • Left inside rental equipment

  • Left in the gaming trailer

  • Left near tables, chairs, tents, inflatables, or other rental equipment

  • Damaged through guest activity

  • Exposed to weather

Customers should inspect the event area and collect personal belongings before equipment pickup or departure.

We will make reasonable efforts to return found items when possible but do not guarantee recovery.

21. ASSUMPTION OF RISK

The customer understands that recreational activities, including gaming events, bounce houses, inflatable slides, wet inflatables, outdoor events, and similar activities involve inherent risks.

These risks may include slips, falls, collisions, physical activity injuries, weather-related conditions, and risks associated with improper use of equipment.

The customer agrees to:

  • Follow all safety instructions;

  • Ensure reasonable supervision;

  • Prevent prohibited equipment use; and

  • Inform guests of applicable rules.

Nothing in these Terms and Conditions is intended to waive or limit any right or obligation that cannot legally be waived or limited.

22. LIMITATION OF LIABILITY

To the fullest extent permitted by applicable law, Royale Party Rentals will not be responsible for indirect, incidental, special, or consequential damages arising from a rental or event.

Any limitation of liability will apply only to the extent permitted by applicable law.

Nothing in these Terms and Conditions is intended to exclude liability that cannot legally be excluded.

23. CUSTOMER RESPONSIBILITY AND INDEMNIFICATION

To the fullest extent permitted by law, the customer agrees to be responsible for claims, losses, damages, or expenses arising from:

  • The customer's breach of these Terms and Conditions;

  • Customer or guest misuse of equipment;

  • Failure to follow safety instructions;

  • Unauthorized movement or alteration of equipment;

  • Customer-provided inaccurate site information; or

  • Customer or guest intentional misconduct or negligence.

This provision does not require the customer to assume responsibility for conduct for which applicable law does not permit responsibility to be transferred.

24. FORCE MAJEURE AND EVENTS BEYOND REASONABLE CONTROL

Royale Party Rentals will not be considered in breach of its obligations when performance is prevented or materially delayed by circumstances beyond reasonable control, including:

  • Severe weather

  • Natural disasters

  • Flooding

  • Fire

  • Road closures

  • Government restrictions

  • Public emergencies

  • Utility failures

  • Transportation accidents

  • Equipment failure despite reasonable maintenance

  • Labor disruptions

  • Other extraordinary circumstances beyond reasonable control

When possible, Royale Party Rentals will communicate with the customer and attempt to provide reasonable alternatives, which may include rescheduling, substitution, credit, or refund arrangements depending on the circumstances and services affected.

25. EQUIPMENT SUBSTITUTION

If reserved equipment becomes unavailable because of unexpected damage, mechanical failure, safety concerns, or other circumstances beyond reasonable control, Royale Party Rentals may offer:

  • Comparable substitute equipment;

  • A different available rental;

  • Rescheduling;

  • Account credit; or

  • A refund for the unavailable affected service.

Any substitution will be communicated to the customer.

Royale Party Rentals will not intentionally substitute materially different equipment without informing the customer.

26. MERCHANDISE

Merchandise purchases, including Gamer Royale or Royale Party Rentals T-shirts and other items, may be subject to separate product descriptions, sizing information, fulfillment times, and return policies.

Rental cancellation policies do not automatically apply to merchandise purchases.

Customized, personalized, used, or worn merchandise may be nonreturnable except where required by law or where the item is defective.

27. PRIVACY

Personal information collected through our website, booking forms, communications, payments, and events is handled according to the Royale Party Rentals Privacy Policy.

Customers are encouraged to review the Privacy Policy before submitting booking information.

28. ELECTRONIC COMMUNICATIONS AND ACCEPTANCE

The customer agrees that Royale Party Rentals may communicate electronically through methods including:

  • Email

  • Text message

  • Online forms

  • Electronic invoices

  • Electronic contracts

  • Booking systems

To the extent permitted by law, electronic acceptance, electronic signatures, checkbox acknowledgment, payment submission, or other affirmative electronic actions may be used to document customer agreement.

The customer is responsible for providing accurate email and telephone information and for monitoring communications related to the booking.

29. COMMUNICATION CONSENT

By providing an email address or telephone number, the customer agrees to receive communications reasonably related to:

  • Quote requests

  • Booking status

  • Payment reminders

  • Delivery and setup

  • Event coordination

  • Weather

  • Safety

  • Pickup

  • Customer service

Marketing communications may be sent separately when permitted.

Customers may opt out of promotional communications without affecting necessary transactional communications concerning an active booking.

30. GOVERNING LAW

These Terms and Conditions are governed by the laws of the State of Texas, without regard to conflict-of-law principles.

Any venue or jurisdiction provision contained in a separate signed rental or event agreement will control when applicable.

31. SEVERABILITY

If any provision of these Terms and Conditions is determined to be invalid, unenforceable, or unlawful, the remaining provisions will continue in effect to the extent permitted by law.

32. CHANGES TO THESE TERMS

Royale Party Rentals may update these Terms and Conditions periodically.

The version applicable to a confirmed booking will generally be the version accepted or provided in connection with that booking unless the parties agree otherwise in writing or a change is required by law.

The effective date shown at the top identifies the current published version.

33. ENTIRE AGREEMENT

These Terms and Conditions, together with the applicable:

  • Booking confirmation

  • Invoice

  • Quote

  • Rental agreement

  • Safety rules

  • Privacy Policy

  • Cancellation Policy

  • Event-specific agreement

  • Written approved changes

constitute the agreement governing the applicable rental or service.

Event-specific written terms may supplement these general Terms and Conditions.

CUSTOMER ACKNOWLEDGMENT

By completing a booking, signing an agreement, paying a required deposit, or electronically accepting these Terms and Conditions, the customer acknowledges that they have had an opportunity to review the applicable terms, policies, rental requirements, and safety information associated with their booking.
