Unless otherwise stated in writing, the remaining balance is due no later than seven (7) calendar days before the scheduled event.

Bookings made within seven days of the event may require payment in full at the time of booking.

5. BOOKING CONFIRMATION

Submission of a booking request alone does not reserve an event date or equipment.

The reservation is confirmed only after:

  1. Royale Party Rentals accepts the booking;

  2. Required customer and event information is received;

  3. Required agreements and acknowledgments are completed; and

  4. The required deposit or initial payment is successfully received.

Once confirmed, the specific equipment and services listed in the reservation will be reserved for the Customer, subject to this Agreement and the incorporated policies.

6. DELIVERY, SETUP, AND PICKUP

Royale Party Rentals will make reasonable efforts to arrive and complete setup according to the confirmed event schedule.

The Customer must provide timely and safe access to the event location.

The Customer agrees to provide accurate information regarding:

  • Event address

  • Parking

  • Setup location

  • Surface type

  • Gate width

  • Stairs

  • Slopes

  • Low branches

  • Overhead wires

  • Sprinkler systems

  • Underground utilities

  • Septic systems

  • Water access

  • Electrical access

  • Venue restrictions

  • HOA restrictions

  • Park requirements

  • Other conditions affecting delivery or setup

Customer-caused delays may reduce the usable rental period.

The scheduled end time is not automatically extended because of delays caused by:

  • Locked gates

  • Incorrect addresses

  • Venue access problems

  • Customer absence

  • Unavailable parking

  • An unprepared setup area

  • Undisclosed access restrictions

  • Required permissions not obtained by the Customer

Additional labor or travel charges may apply when actual site conditions are materially different from those disclosed during booking.

7. CUSTOMER SITE RESPONSIBILITIES

The Customer represents that they have lawful permission to use the event property for the reserved equipment and services.

The Customer is responsible for obtaining all required permissions from:

  • Property owners

  • Venue operators

  • Homeowners associations

  • Schools

  • Churches

  • Parks departments

  • Municipal authorities

  • Event organizers

  • Other persons or entities controlling the property

The Customer must maintain clear access to rental equipment for delivery, inspection, emergency access, and pickup.

Royale Party Rentals may decline or discontinue setup when the site is unsafe or unsuitable.

8. GAMING TRAILER REQUIREMENTS

For a Gamer Royale gaming trailer booking, the Customer agrees to provide:

  • Approximately 50 feet of clear space for the gaming trailer and tow vehicle;

  • A reasonably level and suitable parking area;

  • Legal permission for the trailer and tow vehicle to park at the event location;

  • An access route free from low branches, blocked entrances, narrow turns, unsafe slopes, and other hazards;

  • A clear area around trailer steps, entrances, exits, and outdoor TVs.

Royale Party Rentals provides the generator used for normal gaming trailer operations.

The Customer must provide access to the setup area approximately 45 minutes before the scheduled event time unless otherwise communicated.

Guests may not:

  • Tamper with consoles, TVs, cords, generators, or other equipment;

  • Move gaming equipment without authorization;

  • Enter restricted operating areas;

  • Bring food or drinks into prohibited electronic equipment areas;

  • Engage in unsafe or abusive behavior.

Game Host instructions must be followed.

9. INFLATABLE SETUP REQUIREMENTS

For inflatable rentals, the Customer must provide an appropriate setup area with sufficient clearance.

The Customer must accurately disclose:

  • Setup dimensions

  • Surface type

  • Gate width

  • Fences

  • Trees

  • Low branches

  • Overhead wires

  • Underground utilities

  • Irrigation systems

  • Sprinkler systems

  • Septic systems

  • Drainage systems

  • Slopes

  • Other known site hazards

Grass is generally the preferred setup surface.

Concrete, pavement, artificial turf, or other surfaces require advance approval.

Different surfaces may require different anchoring systems or additional charges.

The Customer may not move, disconnect, reposition, deflate, alter, or modify an inflatable after setup without authorization from Royale Party Rentals.

For wet-use equipment, the Customer must provide reasonable access to a suitable water source unless otherwise agreed.

10. INFLATABLE SAFETY AND SUPERVISION

A responsible adult age eighteen (18) or older must supervise inflatable use at all times.

The Customer agrees to ensure that all participants follow posted and communicated safety rules.

The following are prohibited unless specifically allowed by the equipment manufacturer or Royale Party Rentals:

  • Flips

  • Wrestling

  • Rough play

  • Climbing on exterior walls

  • Climbing on netting

  • Shoes

  • Sharp objects

  • Food

  • Drinks

  • Gum

  • Pets

  • Unauthorized water use

  • Overcrowding

  • Use beyond stated size or age restrictions

Users must enter and exit through approved access points.

The Customer must separate participants by age or size when instructed.

Royale Party Rentals may stop inflatable use when safety rules are not followed.

11. PARTY ESSENTIALS

The Customer agrees to use tables, chairs, tents, canopies, generators, and related equipment only for their intended purposes.

The Customer and guests may not:

  • Move tents or canopies without permission;

  • Remove or alter stakes, anchors, ballast, ropes, or tie-downs;

  • Climb on tables or chairs;

  • Overload tables or chairs;

  • Place unauthorized flame, heating, or cooking equipment under or near tents;

  • Move, open, refuel, modify, or tamper with generators;

  • Remove equipment from the event location;

  • Disassemble rental equipment;

  • Use rental equipment for unintended purposes.

Additional charges may apply for damage caused by misuse or unauthorized movement.

12. SUPERVISION OF CHILDREN AND GUESTS

The Customer is responsible for providing appropriate adult supervision throughout the event.

Royale Party Rentals employees and Game Hosts do not replace:

  • Parents

  • Guardians

  • Teachers

  • Chaperones

  • Venue employees

  • Event security

  • Event organizers

The Customer is responsible for the conduct of guests and participants.

The Customer agrees to ensure that guests:

  • Follow safety instructions;

  • Use equipment properly;

  • Do not intentionally damage equipment;

  • Do not enter restricted areas;

  • Do not interfere with setup, operation, or removal of rental equipment.

13. WEATHER

Royale Party Rentals may delay, suspend, modify, or terminate equipment use when weather or site conditions become unsafe.

Unsafe conditions may include:

  • Lightning

  • Thunderstorms

  • High winds

  • Dangerous wind gusts

  • Heavy rain

  • Flooding

  • Standing water

  • Tornado warnings

  • Severe weather alerts

  • Saturated ground

  • Unsafe electrical conditions

  • Other conditions that may create an unreasonable risk

The Customer agrees to stop equipment use immediately when directed by Royale Party Rentals.

Different equipment may have different weather limitations.

A weather-related shutdown after an event begins does not automatically qualify the Customer for a full refund.

Weather-related cancellations, credits, refunds, or rescheduling will be handled according to the Royale Party Rentals Cancellation, Refund, and Weather Policy.

14. CANCELLATION AND REFUNDS

The Customer acknowledges the following general cancellation terms:

  • Deposits are refundable when the Customer cancels more than fourteen (14) calendar days before the scheduled event.

  • Deposits are nonrefundable when the Customer cancels fourteen (14) calendar days or less before the event.

Additional payment, refund, rescheduling, and weather provisions are governed by the Royale Party Rentals Cancellation, Refund, and Weather Policy.

The Customer acknowledges that removing equipment or services from a confirmed booking may be treated as a partial cancellation.

Changes may also affect bundle discounts or promotional pricing.

15. RENTAL PERIOD AND EXTENSIONS

The rental period begins and ends according to the confirmed reservation.

Additional gaming or rental time must be approved by Royale Party Rentals.

Extensions are subject to:

  • Equipment availability;

  • Staffing availability;

  • Other scheduled bookings;

  • Customer acceptance of additional charges.

Extensions are not guaranteed.

Unauthorized continued use may result in additional charges.

16. CONDITION OF EQUIPMENT

The Customer agrees to inspect rental equipment when reasonably possible upon delivery or setup and report any visible concern immediately.

The Customer must promptly notify Royale Party Rentals of:

  • Damage

  • Malfunction

  • Injury

  • Accident

  • Theft

  • Safety concern

  • Equipment failure

The Customer must not attempt repairs unless specifically authorized.

Normal wear and tear is expected.

The Customer may be charged for damage beyond ordinary wear resulting from:

  • Misuse

  • Negligence

  • Failure to supervise

  • Intentional damage

  • Unauthorized movement

  • Unauthorized modifications

  • Theft

  • Vandalism by the Customer or guests

  • Failure to follow instructions

17. LOSS, DAMAGE, AND MISSING EQUIPMENT

The Customer is responsible for rental equipment while it is under the Customer's control, subject to applicable law.

Charges may be assessed for:

  • Missing equipment

  • Broken equipment

  • Intentional damage

  • Unauthorized modifications

  • Excessive cleaning

  • Theft

  • Loss caused by customer negligence

  • Damage caused by improper use

Charges may include reasonable:

  • Repair cost

  • Replacement cost

  • Labor

  • Transportation

  • Cleaning

  • Lost-use costs where permitted and reasonably documented

18. CLEANING

Normal cleanup resulting from ordinary use is included unless otherwise stated.

Additional cleaning charges may apply for excessive:

  • Food spills

  • Drink spills

  • Gum

  • Paint

  • Adhesives

  • Confetti

  • Silly string

  • Mud

  • Bodily fluids

  • Pet waste

  • Smoke residue

  • Unauthorized decorations

  • Other contamination requiring extraordinary cleaning

Customers should obtain approval before using unusual party materials near rental equipment.

19. FOOD AND DRINK

Food and drinks may be permitted at the event but must remain away from restricted gaming, electrical, and equipment areas.

Food and drinks are not permitted near gaming consoles, TVs, cables, generators, or other sensitive equipment unless specifically approved.

The Customer may be responsible for damage or excessive cleaning caused by spills.

20. EQUIPMENT SUBSTITUTION

If reserved equipment becomes unavailable because of:

  • Unexpected damage

  • Mechanical failure

  • Safety concerns

  • Transportation problems

  • Other circumstances beyond reasonable control

Royale Party Rentals may offer:

  • Comparable substitute equipment;

  • A different rental;

  • Rescheduling;

  • Account credit; or

  • A refund for the affected unavailable service.

Material substitutions will be communicated to the Customer.

21. PERSONAL PROPERTY

Royale Party Rentals is not responsible for personal property that is lost, misplaced, damaged, or left:

  • Inside the gaming trailer;

  • Near rental equipment;

  • Under tents;

  • At the event location;

  • In or around inflatables;

  • In tables or seating areas.

The Customer should inspect the area and collect belongings before equipment pickup.

Royale Party Rentals will make reasonable efforts to return found items but does not guarantee recovery.

22. PHOTO AND VIDEO PREFERENCE

The Customer acknowledges that Royale Party Rentals may photograph or record equipment setups and general event activity for business and marketing purposes, subject to the Company’s Privacy Policy and media notice.

The Customer may select one of the following:

☐ I give permission for Royale Party Rentals to use photographs or videos that include me and minors for whom I am the parent or legal guardian for website, social media, advertising, and promotional purposes.

☐ I do not give permission for Royale Party Rentals to use identifiable photographs or videos showing me, my household members, or minors for whom I am the parent or legal guardian for advertising or promotional purposes.

Opting out will not affect service, pricing, or booking eligibility.

23. ASSUMPTION OF RISK

The Customer understands that recreational activities and event equipment may involve inherent risks.

These may include risks associated with:

  • Physical activity

  • Slips

  • Falls

  • Collisions

  • Wet surfaces

  • Outdoor conditions

  • Weather

  • Misuse of equipment

  • Failure to follow instructions

The Customer agrees to follow safety instructions and ensure reasonable supervision.

Nothing in this Agreement is intended to waive any right that cannot legally be waived.

24. CUSTOMER RESPONSIBILITY

To the fullest extent permitted by law, the Customer agrees to be responsible for claims, damage, loss, or expense resulting from:

  • The Customer's breach of this Agreement;

  • Customer or guest misuse of equipment;

  • Failure to supervise guests;

  • Failure to follow safety instructions;

  • Unauthorized movement or alteration of equipment;

  • Inaccurate information provided by the Customer;

  • Intentional misconduct or negligence by the Customer or guests.

This provision applies only to the extent permitted by applicable law.

25. LIMITATION OF LIABILITY

To the fullest extent permitted by law, Royale Party Rentals will not be liable for indirect, special, incidental, or consequential damages arising from the rental or event.

Nothing in this Agreement excludes liability that cannot legally be excluded.

26. FORCE MAJEURE

Royale Party Rentals will not be considered in breach of this Agreement when performance is prevented or materially delayed by circumstances beyond reasonable control, including:

  • Severe weather

  • Flooding

  • Natural disasters

  • Fire

  • Road closures

  • Government restrictions

  • Public emergencies

  • Transportation accidents

  • Utility failures

  • Equipment failure despite reasonable maintenance

  • Other extraordinary events beyond reasonable control

When reasonably possible, Royale Party Rentals will communicate available alternatives.

27. INCORPORATED POLICIES

The Customer acknowledges that the following documents are incorporated into and form part of this Agreement when applicable:

  • Royale Party Rentals Terms and Conditions

  • Cancellation, Refund, and Weather Policy

  • Privacy Policy

  • Inflatable Safety Rules

  • Gaming Trailer Rules

  • Booking Confirmation

  • Invoice

  • Quote

  • Equipment-specific instructions

  • Event-specific written terms

If an event-specific written term conflicts with a general policy, the more specific written term will control for that issue.

28. ELECTRONIC COMMUNICATIONS

The Customer agrees to receive booking-related communications through:

  • Email

  • Text message

  • Electronic invoices

  • Electronic contracts

  • Online booking systems

  • Other agreed electronic methods

Electronic records, checkbox acknowledgments, electronic signatures, and payment actions may be used to document acceptance of the Agreement.

29. GOVERNING LAW

This Agreement is governed by the laws of the State of Texas.

Any specific venue or dispute-resolution provision contained in an additional signed agreement will control where applicable.

30. ENTIRE AGREEMENT

This Rental Agreement, together with the incorporated documents and confirmed booking details, represents the agreement between the Customer and Royale Party Rentals concerning the reserved services.

Changes to the booking must be confirmed in writing by Royale Party Rentals.

31. CUSTOMER ACKNOWLEDGMENTS

By signing or electronically accepting this Agreement, the Customer acknowledges that:

☐ I have reviewed the Cancellation, Refund, and Weather Policy.

☐ I understand that a responsible adult must supervise children and inflatable use.

☐ I have accurately disclosed the setup conditions and access requirements for the event location.

☐ I understand that unsafe conditions may require equipment use to stop.

☐ I understand that I may be responsible for damage caused by misuse, negligence, unauthorized movement, or intentional damage.
